What conferences services are offered by Campus Services?
Vic Venues provides professional assistance for academics, organisations and corporations to hire the University facilities, whether for work or in a personal capacity.
With over 200 purpose built conference and training rooms available, Vic Venues is one of the largest venue providers in Wellington and has flexibility and the resources to suit many events. Its meeting and conference facilities are perfect learning environments.

This service is provided by Information and Technology Services (ITS).
- Crèche Services
What Crèche Services Are Available?
The crèches and early childhood education centres provide care and education for pre-school children of Victoria University students and staff.
There are four student crèches, three at 67 - 71 Fairlie Terrace on Kelburn Campus and a small centre at the Law School on Pipitea Campus.
There are two early childhood education centres for the children of staff and postgraduate students located at 2 and 4 Clermont Terrace on Kelburn Campus.
All the centres have waiting lists; staff may join the waiting list for an early childhood education centres at any time. Enrolments for the Crèche open on the first Monday in November, for the following academic year.

- Damage
How should graffiti or vandalism be reported?
Details of any graffiti or vandalism should be reported to the FM Service Desk as soon as possible.
Campus Services has contractors equipped to remove graffiti on the campus, our aim being to have the graffiti removed as soon as possible after being detected/reported - prompt action helps to further reduce the incidence of tagging/graffiti.
- Document Destruction
Who do you contact to get confidential papers/documents destroyed?
All requests for the emptying of confidential destruction bins should be sent to the FM Service Desk or by logging a request in BEIMS. Campus Care will arrange for an attendant to pick up the full bin, empty it, and provide a replacement bin if required. Once scheduled, this service takes approximately 1 -2 days.

- Keys & Locks
Record of locks and keys
Campus Services maintains a record of all the locks and keys at the University. It is therefore important that any staff changes or changes in offices or office/room uses, is advised to Security either by email to Security or phone extn 8366, so that an accurate record can be kept of whom keys have been issued to.
How do you report problems with locks/keys?
Problems or defects with keys and locks should be reported as soon as possible to the FM Service Desk or by logging a remote request in BEIMS.
How do you request key/lock changes?
Requests for additional keys can be made to the FM Service Desk or by logging a remote request in BEIMS. Be sure to include the name of the person whom the key is to be issued to, their positions, Faculty/School/Central Service Unit and the room/s which they require access to. Campus Services may be able to limit the number of keys carried by a person by making the keys access various rooms as desired. If people lose or damage their keys, Campus Services reserves the right to charge the relevant Faculty/School/Central Service Unit for any additional and/or replacement keys.

- Lifts
Do not use lifts in the event of an emergency or fire alarm. Use the stairs.
Who services and repairs lifts?
Campus Services co-ordinates the regular servicing and maintenance of all lifts at Victoria. A service technician is based on the Kelburn Campus every other week to undertake regular servicing, and may be available to attend to problems and defects as soon as possible. Contact the FM Service Desk on extn 6600.
How do I report any problems?
Problems should be reported to Campus Services as soon as possible by contacting the FM Service Desk on extn 6600.
What happens if someone gets trapped in a lift?
If you are trapped in a lift, use the emergency phone and your call will be picked up by Campus Security staff who will arrange for the service contractor to fix the problem.
Current lift upgrade programme in progress
A long term upgrade programme of all lifts on campus is underway. Notifications of forthcoming upgrades and repairs will be advised in good time through VicNews, and emailed to staff in the buildings affected.

How are the gardens maintained?
The maintenance of all the open spaces and grounds is contracted out. Maintenance is scheduled to address seasonal issues, trimester periods and accommodate development requirements around the University.

Who looks after paths and roadways?
The maintenance of all paths and roadways is carried out by a contractor. Defects and faults should be reported as soon as possible to the FM Service Desk.
Who deals with vandalism?
If any vandalism, such as damage to paths, structures or plants etc is noticed, this should be reported to the FM Service Desk as soon as possible.

- Painting
Who decides when a room needs painting?
The condition of paintwork in specific areas is assessed on a regular basis. Depending on the availability of funds, the use of the area, age, the overall condition, etc, an area may be programmed for painting by Campus Services. If you have any upcoming office moves/changes, this may be an ideal time to assess and improve the condition of painted surfaces, i.e. when furniture is shifted and shelves have been removed from the walls. Please contact the FM Service Desk.All buildings are generally scheduled for repainting every 10-15 years, but this period will vary according to usage, etc.
Who arranges the painting?
Campus Services is responsible for all interior and exterior painting and no work of this nature should be undertaken or arranged by other staff. All requests for painting should be made through the FM Service Desk.
Are there colour restrictions?
Internal colour schemes for Faculties, Schools and buildings have been developed by the University. Colour schemes for the exterior of buildings have also been standardised. Campus Services will liaise with individual schools and divisions if they plan a change or where there has been a special request for some change.

Who arranges for pinboards and whiteboards to be supplied?
Standard pinboards and whiteboards for staff offices can be arranged by Campus Services. They will be supplied and installed by the maintenance contractor who has a preferred supplier of whiteboards with a quality brand and guarantee. Please email your request to FM Service Desk FM Service Desk or log a remote request in BEIMS.
The cost of any other boards or those for non-office areas (e.g. hallways, tearooms) is not included in the occupancy charge so there may be a charge for this.
Who hangs or moves pinboards and whiteboards?
Campus Services will arrange for the maintenance contractor to hang any pinboards or whiteboards, so the proper hardware and tools can be used. Please note that the cost of rearranging existing boards is not included in the Occupancy Charge.

Who has floor plans?
Campus Services prepares and provides floor plans for all buildings at the University.
How do I request a PDF copy of a plan?
Copies of floor plans may be available on request - please contact the FM Service Desk on extn 6600 for more information.
- Plumbing
Plumbing includes all water supplies to and within buildings; all toilets, showers and ablution facilities; all water discharge systems; all roofs, gutters, spouting and downpipes.
How do you report any problems?
Contact the FM Service Desk (or after hours via Campus Care on ext 5398), explaining the extent and urgency of the situation. A maintenance tradesperson will then be called to attend to the problem.
- Porter Services
What services are provided and how are they arranged?
The Caretaking Service delivers, moves and store goods within the University (and off campus in some specific cases). It is co-ordinated by the Caretaking Supervisor who can be contacted on extn 6633 or via the FM Service Desk.
This service is covered by the Occupancy Charge, however in any case where there is to be a charge, it will be discussed with the requester and a cost centre will be sought prior to the work being done.
The Caretaking Service provides:
- Co-ordination and liaison with units requiring office shifts of one-off requirements
- Ad-hoc delivery services between campuses and buildings, provided notice is given and within staffing constraints
- Caretaking services for regular University events such as enrolment, examination, graduation and concerts
- Delivery and emptying of recycling bins
Please plan ahead! The Caretaking service is a very busy team of people, particularly around examination, graduation and enrolment times, so it is advisable that you allow notice if your job is complex, large or time critical.

What recreation services are offered by Campus Services?
Recreation Services are managed as part of the wider Campus Services team.
An excellent range of fitness, sporting and recreational spaces and can be found across a number of the University campuses.

The Recreation Services team provide varied and regular opportunities to participate in both structured and unstructured recreation. Examples include the coordination of casual sports, health and fitness services, sport leagues, and activities programmes for staff and students.

- Recycling and Confidential Shredding Bins
There are plastic wheelie bins on campus that are used for the following:
Dark green wheelie bins - Paper, Recycling
These are used for all copy paper waste that is of a non-confidential nature. No cardboard or food is to be placed in these bins. These bins are emptied on request as required by Campus Services Caretakers. For attention please contact the FM Service Desk or log a request in BEIMS. Please flatten all cardboard for collection and stack it neatly alongside the bin where it will not be a hazard.
Blue wheelie bins with locked lid - Confidential Waste
These are used for all paper that is of a confidential nature and is required to be shredded, normally ordered through the School or Central Service Unit. No cardboard and/or food waste is to be placed in these bins. Due to the cost of providing this service there is a directive to limit the contents to confidential documents only. These bins are emptied as and when required. For attention please contact the FM Service Desk or log a request in BEIMS.
Red recycling bins
Red recycling bins are provided in tea rooms for the recycling of cans, tins, soft drink and milk bottles including glass and plastic. Please ensure that all cans and bottles are washed and rinsed thoroughly before placing them in these bins. These bins are emptied on request as required by Campus Services Caretakers. For attention please log a remote request in BEIMS or contact the FM Service Desk on extn 6600.

- Safety
Campus Safety provides support and information on safety management systems and coordinates the safety responsibility of all University staff. Campus Safety also provides professional advice and guidance.
Who do you contact if there is an incident involving safety of staff or students?
Please contact the Safety Coordinator as soon as possible on extn 6053 so the incident/accident can be appropriately investigated. To report an emergency dial 8888 from an internal phone.

Who arranges internal signage and wayfinding directions?
These are organised by Campus Services, and include directions for Faculties/School's/Central Service Units within buildings. Requests for signs outside of wayfinding ie. School noticeboards etc, will be oncharged, and a cost centre must be provided when making your request.
How do you arrange door and room signs?
Name and room signs are typically part of the standard door plates - and are of standard size, design and colour. School/Central Service Unit administrators can easily change staff name inserts by simply replacing the printer copy from the perspex holder. Contact the Campus Development Co-ordinator on extn 6606, for the template.
The charges for signage as part of new buildings and fitouts will be borne by Campus Services.

What services are provided by Student Accommodation?
As part of Campus Services, Student Accommodation comprises the Accommodation Service, Weir House, Joan Stevens Hall and University Hall.
The Accommodation Service helps students with accommodation requests, including;
- Halls of Residence application processing
- Accommodation listings for private housing
- Homestay coordination
- Booking temporary housing
Weir House and Joan Stevens Hall provide provide fully furnished catered accommodation to 312 and 241 first year students respectively. Accommodation is also available during the summer trimester for conference and student groups. University Hall provides self catered accommodation for 350 international students. There is also a limited amount of accommodation for small family groups. Summer accommodation is also available to students and individuals.

- Tea Room Facilities
Who provides milk, tea and coffee etc?
Milk for tea and coffee is supplied by Campus Services on a regular basis. For details of supply to your area, please contact Campus Care on 463 5398 or email campus-care@vuw.ac.nz.
Ordering of tea, coffee and sugar supplies is the responsibility of the individual Faculties and Central Service Units. Nominated administrators are provided with secure access to the Corporate Express website https://netxpress.co.nz/ to place orders.
Hygiene is paramount in all areas of food preparation
High levels of hygiene are expected in all areas of food preparation on campus. Campus Services is able to assist if you have a problem with things such as spills or broken glass. Requests for assistance in matters such as these should be directed to the FM Service Desk on extn 6600 as quickly as possible after the event to facilitate the clean-up work.
Who provides and services the water coolers?
Water coolers are generally supplied and maintained by Campus Services. Individual Schools/Faculties/Central Service Units may also arrange the supply of additional freestanding units, and are responsible for the ongoing servicing.

Who manages telephones at the University?
The telephone service is managed by Information Technology Services (ITS) who can be contacted via the ITS Service Desk on extn 5050 8am-5:30pm, Monday to Friday, or email phone-help@vuw.ac.nz.

Where are window coverings provided and what gets provided?
Many early buildings at the University are fitted with curtains, however these are generally being phased out in favour of venetian or sunfilter blinds. Campus Services arranges for the supply and installation of the blinds. Please contact the FM Service Desk.
Teaching rooms are generally supplied with black out blinds and in special circumstances sun filters and tinted windows may be considered at the discretion of Campus Services.
Who arranges cleaning, repairs and replacement of curtains and blinds?
Generally Campus Services do not clean curtains because it is not financially viable. All curtains and blinds are reviewed for replacement as a required on a case-by-case basis.
Should repairs to venetian blinds and tracks be necessary, these will be arranged by Campus Services if contact is made with the FM Service Desk or a job logged remotely in BEIMS.
